A line on a maintenance schedule and a stamp in a service book answer two different questions. The schedule tells you what the manufacturer planned for a car like yours, under stated triggers and conditions. The stamp, invoice, or record entry tells you what evidence exists that someone did the work. Neither one, by itself, tells you what condition your car is in right now.
So before you interpret any interval, do one thing first: find the document that applies to your car.
To make this concrete, this guide leans on one bounded Ford example throughout: the U.S.-market 2020 Ford Mustang Shelby GT350 with the SVT Performance Package, as covered in the July 2019 First Printing supplement, edition date 201906. Ford's own guidance is that the manual supplied with the vehicle is the primary vehicle-specific source, because the pages Ford publishes online can differ from what shipped with that particular car. Everything the Ford material shows here is about document structure: how an entry is built. It's not a source for any specific interval. Later sections just call it "the Ford example."
This is document reading and recordkeeping only. It won't service your car, diagnose a fault, or tell you whether it's safe to keep driving today. Those are separate jobs, for separate people.
Find the governing document
A maintenance schedule is written for one specific vehicle configuration, so its make, model, year, engine, market, and equipment all matter to whether it applies to you. Before you trust any interval on it, check it against your car on a handful of points:
- Make and model
- Model year or generation
- Engine or powertrain
- Market the document was written for
- Equipment or configuration (trim level, options, performance packages)
- Document title, edition, version, or printing
If any of these don't match, don't reach for the closest-looking schedule and hope it's close enough. Mark that field unknown and keep looking. A schedule written for a different engine or a different market can carry different triggers entirely, and there's no way to guess your way past that gap.
You can usually pull these details from three places: the car itself (build plate, registration documents, VIN), the handbook that came with it, or a legitimate manufacturer portal or manufacturer/dealer support line. Where the handbook and an online page disagree, that's exactly the kind of conflict worth writing down rather than resolving by guesswork.
Read the whole entry
Once you've got the right document, it's tempting to skim for the interval — a number, a mileage figure, a time period — and stop there. That's how owners miss the qualification that changes what the entry means. A single number is rarely the complete instruction; conditions and attached notes can qualify the trigger in ways that matter.
Five parts of one entry
Read each entry as five connected pieces:
- The action — what work the entry describes.
- The trigger — what makes the action due. It might be tied to distance travelled, time elapsed, a dashboard message, or some mix of these.
- The applicable operating conditions — whether the entry changes under conditions the document defines, like certain kinds of driving.
- Attached notes — clarifications, exceptions, or instructions next to the entry that change what it requires.
- Exclusions or exceptions — cases the entry explicitly doesn't cover.
The Ford supplement shows how one table can combine a display trigger, a distance trigger, and a time trigger, backed by separate tables for operating conditions and exceptions, plus instructions for resetting the on-board reminder once the work's done. That reset clears the dashboard message; it isn't evidence that the work happened on its own — more on what counts as evidence below.
A worked example, fully invented
To see all five parts populated together, here's one complete entry from a fictional document made up for this purpose only — not the Ford example, and not a source for any real car's interval:

Reading that as five pieces:
- Action — change the engine oil and filter.
- Trigger — 12 months or 10,000 km, whichever comes first.
- Conditions — under this document's own definition of "severe-conditions primary operation," the trigger shortens to 6 months or 6,000 km.
- Notes — use only the specified oil and filter, and reset the reminder afterward.
- Exclusions — vehicles with the Heavy-Duty Fleet Package follow a different schedule entirely.
Every figure in that entry belongs to the invented Example Motors document and to no real car. It's useful for practicing how to pull the five parts apart — not as a stand-in for what your own manufacturer's document says.
Conditions belong to the document
If an entry mentions "normal," "severe," or "special" operating conditions, don't reach for a definition from another car or a general sense of what counts as hard driving. Use the applicable manufacturer's definitions for those terms, because they vary by document.
The Ford example shows what that looks like: its special-conditions section splits primary operation from occasional operation across a list of specific conditions, and for anything not clearly covered, it points the owner to dealership service staff rather than trying to define every case in the book.
Build the record
Reading the schedule tells you what was planned. It doesn't tell you what happened to your specific car. That's where a record comes in — and it's worth being precise about what a record can and can't do.
A schedule entry, an invoice, a workshop stamp, or a filled-in record field is evidence that something was written down. None of it, on its own, establishes workmanship, the car's present condition, safety, roadworthiness, warranty compliance, or that unrelated maintenance was also done. With that in mind, Autonelio uses a simple four-way framework to organize evidence into something usable. It's an editorial tool for sorting what you know from what you don't — not a manufacturer standard, and not a certification of anything.
Four useful statuses
- Done — available evidence identifies the specific completed work: an invoice, a stamped record, or an equivalent that names the item.
- Due — the applicable schedule trigger has been reached, based on your car's data and the document's stated conditions, but you don't have adequate evidence that the work was completed.
- Not applicable yet — the entry applies to your car, but its trigger hasn't been reached.
- Unknown — the applicable document, the trigger data, the relevant conditions, or the completion evidence remain unresolved.
If the evidence you have conflicts — an invoice that doesn't match the odometer reading, say, or two documents implying different intervals — resist the urge to pick the more convenient answer. Keep the status as unknown, and write down the specific question that would resolve it.

The odometer reading (11,400 km) has already passed the invented trigger (10,000 km), but nothing here confirms the work was done — that combination is exactly what the four-way framework calls Due, not Done.
The Ford record also uses a few extra fields worth knowing about as possible evidence, though they're specific to that document, not universal:
- Repair-order number
- Distance (and optionally engine hours)
- Multi-point-inspection field
- Signature
- Dealer stamp
Ask a focused question
Some entries will resist all of this and stay marked unknown — you can't confirm which document applies, or the evidence you have doesn't line up cleanly. When that happens, a short, specific question gets you further with a workshop than a vague one.
- Which manufacturer entry applies to this exact vehicle and configuration?
- Is there a vehicle or usage detail — equipment, market, how the car has been used — that changes the recommendation?
- What evidence supports any claim that prior work was already completed?
- If the shop is recommending work beyond what the manufacturer schedule calls for, why — what specifically prompted that recommendation?
The first three of those questions are Autonelio's own workshop-preparation framework, useful wherever you happen to be. The last one draws on something more specific: U.S. FTC consumer guidance advises U.S. consumers to compare a shop's recommendations against the manufacturer's own schedule and ask for the reasoning behind anything extra. That's practical advice for U.S. consumers, not a legal rule, and it doesn't apply outside that context.
Current manufacturer instructions and a qualified service provider govern unresolved document applicability, not the nearest schedule that looks close enough.
