A workshop hands you a repair proposal — maybe before you buy the car, maybe a few weeks into owning it — and you need to decide whether to say yes. You're not there to second-guess the diagnosis yourself. You're there to check whether the explanation holds together well enough to make the call.
That's a smaller job than it sounds, and one you can do. This guide gives you a compact checklist for that review, a worked example showing what happens when a piece of the explanation is missing, and three outcomes to choose among: authorise the work, ask a focused follow-up question, or — if the exact warning on your dashboard carries a current manufacturer instruction — deal with that first.
A warning light or a stored code often shows up early in that explanation. On its own it's a starting point, not a finished diagnosis, and this guide comes back to why that distinction matters.
Check the warning first
Before you look at any repair proposal, check whether the vehicle is telling you to do something right now. Some warnings carry an immediate instruction; others don't.
The only reliable source for that answer is the exact current instruction for your vehicle and warning, found in your own manual or the equivalent digital display message — not every warning requires stopping, so wording from a different vehicle or a different warning can't be trusted here.
Here's a concrete example of why: in the Ford Kuga full-hybrid (FHEV) owner's manual, Great Britain edition, covering vehicles built from 2 March 2026, a "Stop Safely Now" message tied to the high-voltage system tells the driver to stop as soon as it's safe to do so and get the vehicle checked as soon as possible. A separate high-voltage battery message, in the same edition and covering both the full-hybrid and plug-in-hybrid (PHEV) versions, instead tells the driver to stop, get out of the car, and call for emergency assistance. Two messages, from the same manufacturer and the same manual, with two different required responses — which is exactly why you can't borrow one vehicle's instruction for another, or one warning's instruction for a different warning on the same car.
If no immediate instruction applies, continue with the ordinary review. If an immediate instruction applies, follow that exact instruction first. Return to the proposal only when the instruction has been addressed and it is safe to do so.
The three possible decisions
Once the immediate-safety question is settled, the review comes down to three paths. Which one fits depends on how well the workshop's explanation holds together, how much uncertainty remains, and whether an immediate instruction is in play.

Authorise
Authorising makes sense when you can trace a straight line: what was reported, what the workshop checked, what it found, how that finding explains the concern, and what the repair is meant to fix. If the workshop also tells you what's still uncertain and how you'll know afterward whether the concern is really gone, that's a strong sign the explanation is doing its job.
A coherent explanation is not a guarantee. Even a well-reasoned diagnosis can turn out to be incomplete, and the underlying repair could fail to resolve everything it was meant to. What you're buying with authorisation is a decision you understand, not a certainty about the outcome. This path is a poor fit if the proposal leans only on an unexplained warning label, or if the finding that's meant to support it is missing.
Ask for clarification
If one piece of the chain doesn't connect — the interpretation doesn't obviously follow from what was found, say, or the finding was never described to you — the right move is usually a specific question rather than a flat refusal. "What did you check, and what did you find, that led you to this?" is a fair thing to ask before you approve anything.
This keeps the unknown honestly unknown instead of quietly filling it in with an assumption. It can also turn up support the workshop hadn't mentioned yet. The cost is time: the decision waits, and the answer you get back might still leave you unsure, in which case an independent qualified assessment is a reasonable next step. This path isn't worth it if the explanation was already clear and you're just asking for paperwork you don't need.
Put safety action first
This path isn't really a choice weighed against the others — it's a redirection: something more urgent takes over first.
The advantage is obvious: you deal with the thing your vehicle is telling you to deal with, rather than reviewing paperwork about a different problem. The tradeoff is that your repair-authorisation decision may have to wait until qualified help has looked at the immediate issue. This path doesn't apply when no such instruction is showing for your exact vehicle and warning.
How the explanation connects
A useful diagnostic explanation is a short chain of distinct links, and it's worth knowing what each one is so you can tell when one is missing.
It starts with the reported concern — what you or a previous owner noticed, and under what conditions: cold mornings, motorway speed, after the car sat overnight. Next comes retrieved information, which can include a dashboard warning or a stored diagnostic trouble code. For U.S. cars with emissions-related onboard diagnostics, the system is designed to monitor specified engine and emissions-control functions, warn the driver of a detected malfunction, store related information, and make that information available for use during diagnosis and repair. That's a narrow, specific description of one system in one market — it doesn't describe how every warning or every system on every car behaves.
Then come the tests the workshop performed, and the findings — what those tests observed or measured. The workshop's interpretation is how it reads those findings as an explanation for your concern, and the proposed repair is the work meant to address that interpretation. A trustworthy explanation also states what remains uncertain, what happens if the problem doesn't clear up, and what verification — a follow-up check or observation — will be used afterward. That verification step can tell you something useful; it can't by itself prove the underlying problem is fully solved.
A warning or a stored code is best understood as evidence within the diagnostic explanation, not a finished conclusion — it still needs vehicle-specific findings or diagnostics behind it before it points to any particular part.
You can see why keeping these links separate matters by looking at how one manufacturer structures its own internal processes. In a General Motors technical bulletin covering eight specific control-module codes shared across several modules on 2015-and-earlier GM vehicles, technicians are directed to first identify which module set the code, follow the applicable service-information diagnostic steps, and hold off replacing any module until those diagnostics point to it. That's a bounded GM example tied to its specified vehicles and bulletins, not a universal documentation requirement that every workshop follows — a useful illustration of the general distinction, nothing more. Separately, other GM warranty processes — covering 2005–2013 GM passenger cars and light-duty trucks — record the customer's reported concern and operating conditions, the diagnostic support behind the finding, and the stated cause and correction as distinct fields. A related bulletin about intermittent electrical conditions on specified GM vehicles follows a similar pattern: retrieve the codes, use vehicle-specific service information, and try to duplicate the reported condition before doing further work. None of that means every workshop everywhere documents things this way — it means the distinctions themselves are useful enough that at least one manufacturer builds its own paperwork around them.

What follows is an owner-side editorial framework for organising what a workshop has told you — it cannot certify the vehicle or diagnosis, and it isn't a technical standard, a safety certificate, a roadworthiness assessment, a legal-rights guide, or a price review.
Copy the fields below and fill them in from what the workshop tells you. Leave any field blank, or write "not supplied," rather than guessing at an answer you weren't given.
- Reported concern and conditions — what was noticed, and when (cold start, speed, load, weather, frequency).
- Exact warning or retrieved information — the precise wording or code, noted as information rather than treated as a finished diagnosis.
- Tests or inspections performed — what the workshop did to investigate.
- Findings and their plain-language meaning — what was observed or measured, and what that means for someone without technical training.
- Workshop's interpretation — how the findings are said to explain the concern.
- Proposed repair, linked to the finding it addresses — put the repair next to the specific finding it is meant to address, not the general concern.
- Material uncertainty, alternatives, and what happens if the concern remains — what the workshop admits it doesn't yet know, and what the next step would be.
- Planned post-repair verification and its limits — how you or the workshop will check afterward, and a note that this check has limits.
- Any exact manufacturer safety instruction that applies — copy the precise wording if a warning carries one.
- Decision — authorise, ask a specific clarifying question, or seek prompt qualified help.
Example: the missing link
This example is entirely hypothetical, built to show how the checklist behaves when one link in the chain is missing. No real vehicle, workshop, or finding is being described.
Picture a prospective owner looking at a car with an intermittent power-window fault — nothing safety-critical, just a window that sometimes doesn't respond. Filling in the checklist from the seller's paperwork looks like this:
- Concern and conditions: driver's window occasionally fails to move when the switch is pressed; reported as happening "sometimes," no pattern given for temperature or frequency.
- Retrieved information: the workshop notes state that stored information was present related to the window system.
- Tests performed: not supplied.
- Findings: not supplied.
- Interpretation: not supplied — the paperwork moves straight from "stored information" to a proposed fix.
- Proposed repair: replace the window control module.
- Material uncertainty: not stated.
- Verification plan: not stated.
- Safety instruction: none applies to this concern.
- Decision: pending.
That's an honest picture of what's missing, not a diagnosis in disguise. The owner's specific question back to the workshop is: what vehicle-specific check or finding connected the stored information to this particular module? Suppose the answer comes back that no further supporting finding is available — the stored information was the only thing behind the proposal.
At that point the checklist stays marked "clarification needed." The bounded outcome is to withhold authorisation until the workshop supplies the missing finding, or an independent qualified assessment looks at it. Don't invent the missing link yourself, and don't attempt the omitted diagnostic work personally.
If the module is eventually replaced, the useful follow-up entry is whether the original intermittent behaviour comes back under the same conditions first reported. That follow-up observation is worth recording, but non-recurrence alone does not prove resolution — the window could simply not have failed yet under the same conditions.
What a useful answer contains
A decision-useful answer from a workshop doesn't have to be long. But it needs to touch every link: what was checked, what was found, how that finding supports the interpretation, what the proposed work addresses, and what's still uncertain. If the workshop can also say what happens if the problem doesn't clear up, that's a further sign the explanation was built carefully rather than assembled around a part number.
There's a real difference between acknowledged uncertainty and a missing link. A workshop that says "we found X, it explains most of the symptom, but there's a smaller chance of Y as well" has told you something you can weigh. A workshop that names a warning and a part, with nothing in between, hasn't given you enough to decide, even if the part turns out to be the right one. You don't need a particular paperwork format to make this judgment — just the substance of each link, in whatever form the workshop gives it to you. This framework doesn't determine what a workshop may be required to provide under applicable local rules or your contract; that's a separate question with its own answer for your situation.
Keep the review in bounds
The review in this guide stops at reading, recording, and asking questions — actual technical testing and any work on hazardous systems belongs to qualified service personnel working from vehicle-specific service information, not the owner. That rules out doing any of the following yourself:
- clearing codes
- probing electrical connections
- opening up components
- lifting the car or working underneath it
- touching brakes, steering, fuel systems, restraints, or high-voltage components
None of that is part of what this guide asks you to do.
